We are looking for a dynamic and skilled Assistant Secretary of the JCB to join our team at the esteemed ESA-ESTEC site in the Netherlands. Step into a remarkable role that grants you access to one of the globe’s highly coveted space agencies – an opportunity that launches your career into orbit!

Please note that for this specific position we offer a 1-year support contract.

Responsibilities

  • Reporting directly to the Head of Programme Planning, Strategy and Management Coordination Office and with a high degree of autonomy, the candidate will be responsible for:
  • Joint Board on Communication Satellite Programmes (“JCB”) Secretariat, supporting in the overall control, coordination, organization and monitoring of JCB, advisory committees, workshops and all related tasks.
  • Ensure consistency and coherence of the layout as well as configuration control of the documents to be submitted to JCB meetings, JCB workshops and JCB-related advisory committees. Ensure documents are managed in compliance with relevant QMS procedures and processes and raise non-conformances as required.
  • Provide regular internal training of CSC colleagues contributing to JCB Documents.
  • Act as administrator and first line of support for delegations and CSC workforce with respect to JCB-related matters including the JCB repository (SharePoint site). Support further digitisation of the JCB.
  • Ensure close cooperation with all required corporate interfaces to ensure efficient and timely issuing of documents in blue-docs.
  • Ensure all presentations are formatted and registered in the Eclipse DMS as well as issued in blue-docs.
  • Manage the document visa process as required.
  • Liaise with initiators to ensure timely availability of JCB-related documents.
  • Liaise with JCB delegates as required.
  • Prepare the logistics of all JCB and Office-related meetings including relevant procurements.
  • Attend official meetings; travel as required, a minimum of four times per year, 2-3 days per mission.
  • Liaise with Cabinet services and other board/committee secretariats on relevant matters.
  • Update and maintain JCB delegates in the ESA Member State Representative Accreditation System (PUMA 2.0);
  • Attend and participate in the Governing Board Secretaries (GBS) meetings (four times per year), as well as the GBS seminar held annually.

CSC-C General

  • Provide support to the Head CSC-C Office and the team, including support to daily activities of the Office.
  • Responsible for the CSC relevant documentation in the Management Information Systems such as Eclipse, JCB repository, and other SharePoint sites.
  • Support the CSC-C Office in management and retrieval of documents from various Management Information Systems.
  • Management of original files.

Profile

  • University degree (Bachelor) from a recognised institution of post-secondary studies or equivalent qualification.
  • 4 years of relevant experience.
  • Strong organisational skills to follow up and meet deadlines.
  • Attention to detail, diplomacy and ability to communicate in a multicultural environment, behavioural flexibility and team spirit.
  • Comfortable with working in a diverse and multinational team environment.
  • Proficient in the English language, both written and spoken.
  • Knowledge of another EU member state language is an asset.
  • Candidates must be eligible to work in the EU.
