SUMMARY/OBJECTIVE:  Seeking an energetic Administrative Assistant to join our growing business. The Administrative Assistant is responsible for providing administrative support for all departments.

Responsibilities

  • Strong work ethic, extremely reliable attendance and positive attitude.
  • Deal with confidential information and/or issues using discretion and judgment.
  • Provide administrative processes support to all departments for tasks such as creating and editing documents (Excel, Word, PPT, Deltek – Cost Point, other), filing, copying, scanning, distributing, researching.
  • Maintain ongoing projects and provide support on special projects as assigned.
  • Handle incoming/outgoing calls, mail and other communications in a timely and professional manner.
  • Process accounts payable invoices in a timely manner.
  • Greet clients and visitors, following ITAR national security compliance requirements.
  • Organize and maintain office common areas (lobby, conference rooms).
  • Coordinate office events as needed.
  • Monitor, maintain, distribute office supply inventory, including coffee.
  • Maintain office equipment and office service vendors as needed.

Profile

EDUCATION AND EXPERIENCE:

  • Associate Degree or higher preferred.
  • 3 or more years of related professional experience.

SKILLS AND COMPETENCIES:

  • Team player with excellent people skills to function well within a project focused office environment.
  • Strong organizational, office management and time management skills, and ability to prioritize.
  • Highly proficient computer skills (including MS Word, Excel, PPT).
  • Acute attention to detail and accuracy.
  • Competent problem-solving and judgment skills.
  • Excellent Communication skills – both verbal and written.
  • Skilled multi-tasking abilities both electronically and physically to assure timely follow through.
  • Self-directed.
  • Work well with limited supervision.

SUPERVISORY RESPONSIBILITY:  No supervisory responsibilities.

While performing the duties of this job, the employee is regularly required to talk or hear.  The employee frequently is required to stand, walk, use hands, and reach with hands and arms.  Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and printer.  May encounter prolonged periods of sitting.  Intermittent physical activity including bending, reaching, pushing, pulling, or lifting up to 25 lbs.

EXPECTED HOURS OF WORK:  This is a full-time position requiring a minimum of 40 hours per week.

TRAVEL:  Minimal travel is expected for this position.

WORK AUTHORIZATION/SECURITY CLEARANCE:  ITAR Requirements: This position requires special security screenings to conform to U.S. Government space technology export regulations, which may include the ability to obtain a U.S. Security Clearance.  The U.S. Government requires U.S. Citizenship Exclusively.
